Quote Checklist
Custom embroidery baseball cap quote checklist
Align quote scope before comparing suppliers. Keep embroidery preparation, approved cap construction, sample work and delivered-order costs in separate lines so a missing assumption does not masquerade as a saving.

- Product
- Cap construction and artwork revision
- Quantity
- Pieces per color, fit and artwork
- Destination
- US ZIP code and freight scope
Use the same ledger for every supplier response
The table is a preparation tool, not a set of current prices. Copy the buyer's requirement to each RFQ, preserve the supplier's exclusions and mark unconfirmed cells as open. Avoid combining a bulk-packed proposal with a retail-packed offer under one headline price.
| Quote line | What to align | Decision to record |
|---|---|---|
| Unit basis | Finished pieces; quantity by color, fit and artwork | MOQ by variation and order total |
| Construction | Fiber content, fabric weight, panels, backing and closure | Mandatory details versus permitted alternatives |
| Decoration | Artwork size in cm or in; thread colors; stitch-out | Digitizing charges and approval revision |
| Packaging | Piece bags, tags, pack ratio and carton dimensions | Included pack versus separately priced options |
| Samples | Exact cap material and decoration configuration | Sample cost, shipping and approval responsibility |
| Lead time | Starting event and production estimate | Artwork review, sample approval and transit assumptions |
| Trade terms | Currency, destination and transport scope | Freight, duties, fees and exclusions to clarify |
Budget and finish are separate decisions
A budget preference can prioritize a simpler emblem, neutral pack and fewer variations. A high-end preference can prioritize detailed finish, controlled artwork and more sample review. These describe buyer priorities; they do not verify supplier tiers. Request alternative scopes instead of assuming a more expensive proposal performs better.
If your target is per piece, state currency and quantity. If it covers the whole order, identify whether sample costs, freight and destination charges belong inside that budget. A supplier's unit quote and your landed-order estimate are different figures until the included lines are reconciled.
Approve the test question before the result
For a decorated sample, check adjustment range, crown shape, emblem position and stitch appearance against the same revision. Photograph the measurement setup and list deviations. Any colorfastness or other performance requirement needs an agreed method and conditions; a visual check alone cannot demonstrate it.
Choose the inquiry configuration, read the sourcing method, or use the full procurement brief to assemble the next request.
Keep three quote exceptions on the comparison sheet
Units do not match
Write the converted finished-piece quantity beside each offer and retain its original unit. Reconcile individual packing, carton dimensions and transport exclusions before comparing totals. Ask for corrected lines when a response uses a different pack ratio.
The document describes a family
Add the document title, item identifier, issuer and applicable material or decoration beside the quote. A family-level certificate cannot establish exact-item certification. Missing scope should stay flagged until the supplier provides matching evidence for review.
The sample differs from the quote
Create a deviation line for every changed closure, fabric weight or embroidery backing. Link the resulting approval to the sample revision and acceptance questions. If a test condition is missing, leave the performance question unresolved rather than inferring a result.

Submit the scope you want factories to quote
Add the required cap construction, embroidery revision, quantity by variant, pack basis, US destination and target timing. Mark unanswered questions and optional budget priorities so they can be kept visible during comparison.
Independent sourcing support; the supplier confirms quotations, availability and timing for the proposed configuration.
